Your privacy matters to us. This Privacy Policy describes how Viziqo Assist collects, uses, and protects your personal information. We are committed to being transparent about our data practices and giving you control over your information.

1. Who We Are

Viziqo Assist ("we", "us", "our") is an AI-powered customer support platform operated by Viziqo. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service at assist.viziqo.com and through our embeddable widgets. 2. Information We Collect

We collect information you provide directly (e.g. name, email, billing details during registration), information generated through your use of the Service (e.g. conversation logs, API key usage, uploaded documents), and technical data collected automatically (e.g. IP address, browser type, device identifiers, page views, and session durations via cookies and analytics tools).

3. How We Use Your Information

We use the information we collect to: (a) provide, operate, and improve the Service; (b) process payments and manage subscriptions; (c) send transactional emails and account notifications; (d) provide customer support; (e) detect and prevent fraud and abuse; (f) comply with legal obligations; and (g) analyse usage patterns to improve the Service. We do not sell your personal data to third parties.

4. Conversation Data

Conversations handled by your AI agents (including webchat, voice, WhatsApp, and SMS) are stored in our systems to provide conversation history, analytics, and quality improvements. You can export or delete conversation data from the dashboard at any time. End-customer data collected through your widgets is processed on your behalf as a data processor.

5. AI and Large Language Models

The Service sends conversation messages to third-party AI providers (such as OpenAI, Anthropic, and Google) to generate responses. These providers process data under their own privacy policies and data processing agreements. We do not use your conversations to train AI models without your explicit consent. You can configure which AI provider your workspace uses from the settings page.

6. Cookies and Analytics

We use essential cookies to maintain your session and authentication state. We also use analytics cookies (Google Analytics) to understand how users interact with the Service. You can opt out of analytics cookies through your browser settings or a consent banner. We do not use third-party advertising cookies.

7. Data Sharing and Disclosure

We may share your information with: (a) service providers who assist us in operating the Service (e.g. cloud hosting, payment processing, email delivery) under confidentiality obligations; (b) AI model providers as described in Section 5; (c) law enforcement or government authorities when required by law; (d) a successor entity in the event of a merger, acquisition, or sale of assets, with advance notice to you.

8. Data Retention

We retain your account data for as long as your account is active. Conversation logs are retained for 12 months by default and can be deleted on request. Billing records are retained for 7 years as required by financial regulations. Uploaded documents are retained until you delete them from the knowledge base.

9. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, role-based access control, and regular security audits. However, no method of transmission over the internet is 100% secure. You are responsible for maintaining the security of your account credentials.

10. Your Rights

Depending on your location, you may have rights under applicable privacy law including: the right to access personal data we hold about you; the right to correct inaccurate data; the right to request deletion of your data; the right to data portability; and the right to object to or restrict certain processing. 11. Children's Privacy

The Service is not directed to individuals under 16 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected personal data from a child without parental consent, we will take steps to delete it promptly.

12. International Transfers

Your data may be processed in countries other than your own, including the United States, where our infrastructure and AI providers operate. We ensure appropriate safeguards are in place for such transfers, including standard contractual clauses where required by applicable law.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notification at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
